This policy applies to services that have been agreed with the relevant client and should be read alongside the applicable service description, agreed scope and our Terms & Conditions.

Where a particular arrangement requires a different delivery process, the agreed written scope will take precedence for that specific service.

How delivery works

Property management matters can involve several connected actions. Our approach keeps those actions organised and visible.

Where an inspection, contractor attendance or information from another party is required, the timing of that part of the process may depend on availability, access arrangements and the response of the relevant person or organisation.

Timeframes

Delivery timing is based on the agreed scope and the information available.

Working days Unless otherwise agreed, typical timeframes refer to working days and do not include weekends or public holidays in England.
Third-party timing Contractor responses, access arrangements, inspections and information supplied by others may affect the overall completion time.
Updated timing Where a relevant delay becomes apparent, reasonable information about the revised expected timing will be provided.

Information and access

Good delivery depends on having the information required for the agreed task.

  • Property details and relevant background information should be supplied accurately where they are required for the agreed work.
  • Maintenance reports should contain enough information to understand the location, nature and known circumstances of the matter where reasonably available.
  • Where contractor attendance or property access is required, suitable arrangements should be made in advance.
  • Where information is incomplete, clarification may be requested before the relevant action can proceed.
  • If required information or access is not available, the affected part of the service may need to remain pending until the necessary information or arrangement is available.

Changes during delivery

Property matters can develop as more information becomes available.

If the nature of a matter changes after work has started, the revised requirement will be reviewed against the original scope.

Where the change remains within the agreed service, the delivery arrangement may be adjusted accordingly.

Where additional work falls outside the agreed scope, the additional requirement will be explained before that work is undertaken.

A change in scope may also affect the expected delivery timeframe.

Completion and follow-up

Completion means the agreed service output or action has been provided within the scope confirmed for the matter.

Depending on the service, completion may consist of a written review, action summary, coordination record, digital action plan, organised management information or completion of the agreed administrative task.

Where follow-up is expressly included within the agreed scope, relevant updates may continue after the initial action has been completed.

Matters requiring a response, attendance or further action from a contractor or another third party may remain subject to that party’s availability and response.

Keeping records clear

Relevant communications, agreed actions and available completion information may be retained as part of ordinary property management administration and record keeping.
